Approving transactions in the Merchant Dashboard

Merchants must confirm the details of each earnings/redemption transaction before rewards are issued and/or transferred. We've tried to make this process as simple as possible to not make it too difficult or take up too much time for the business owners/managers.

Best practices for approving transactions

  • Help customers at checkout. This is the BEST way to prevent mistakes...engaging with your customers at checkout not only makes them feel good, it gives you a chance to make sure the amount and receipt/invoice numbers are entered correctly. Bonus: We've also found with a lot of customers that you save on receipt paper as customers get the receipt number and amount directly from you and don't always want a receipt.
  • Approve the transaction ASAP. Some merchants require redemptions to be covered 100% by FencyPay rewards, some allow partial redemptions (the customer is spending $50 but only has $15 in rewards so the merchant lets them put $15 towards the sale and the customer pays the remaining $35 with other funds like cash or a credit card).
    When this happens, it's not as easy to go back and find the transaction in your POS or records later because the amounts likely don't match the transaction. So taking a few seconds to verify the details while it's fresh in your mind ensures it gets done properly, but the customers also like it because once confirmed the customer sees the funds in their account right away...they can go spend it at another merchant. This increases the customer perception of shopping at your store. (YAY!)
  • Actually check the details. Testing this in our own stores, we've seen cashiers get lazy and just approve the transaction and the mistakes are found later. We've already transferred the funds to the customer and logged the cost to be billed to the merchant. It's very hard for us to roll this back and it negatively affects the customer experience...making both your store and FencyPay look bad. If you are approving multiple transactions at the end of the day as part of a closing procedure, double-checking your sales records against the pending transactions in your merchant dashboard are extremely important.
